What We Collect
We collect information necessary to provide our property management services. This includes:

- •Property details — property addresses, unit information, and lease-related data
- •Maintenance requests — descriptions, photos, and messages related to repair needs
- •Financial information — payment-related data for reserve tracking and maintenance cost management
How We Use Your Data
Your information is used to provide and improve our property management services. Specifically, we use it to coordinate and schedule maintenance, communicate with tenants, owners, and vendors, track financial activity related to your properties, and send important service updates and notifications.
Who We Share Data With
We only share your information when it is necessary to deliver our services:
- •Vendors — assigned contractors receive only the information relevant to a specific repair (address, issue description, access instructions)
- •Property owners — owners can view data related to their own properties only
- •Service providers — we use Supabase for data hosting, Twilio for SMS notifications, and a third-party email provider for communications
We do not sell your personal information to anyone. Mobile information, including phone numbers, opt-in data, and messaging consent data, is never shared with, sold to, or provided to third parties or affiliates for marketing or promotional purposes.
SMS / Text Messaging
PropFlow uses SMS text messaging to send automated notifications related to property maintenance and management. These messages include updates on maintenance request status, vendor assignments, emergency alerts, and other service-related communications.
Consent: By providing your phone number when creating an account on PropFlow or when your property manager adds you as a tenant, owner, or vendor, you consent to receive automated SMS notifications related to the management of your property. Message frequency varies based on maintenance activity.
Opt-out: You can opt out of SMS notifications at any time by replying STOP to any message from PropFlow. You will receive a confirmation that you have been unsubscribed. You can also contact us at hello@propflowpm.com to request removal from SMS notifications.
Opt-in: If you have previously opted out, you can opt back in by replying START to any previous PropFlow message, or by contacting us at hello@propflowpm.com.

Message and data rates may apply.PropFlow does not charge for SMS messages, but your mobile carrier's standard messaging rates may apply. We are not responsible for any charges from your carrier.
No sharing of mobile information: We do not sell, rent, loan, trade, lease, or otherwise transfer for profit any phone numbers or personal information collected through our SMS messaging program to any third party. Mobile information, including mobile phone numbers and messaging consent, will not be shared with third parties or affiliates for marketing or promotional purposes.
Data collected for messaging: When you participate in our SMS messaging program, we collect your mobile phone number, your consent to receive text messages, and any replies you send to us. This information is used exclusively for sending you service-related notifications about property maintenance requests, vendor assignments, scheduling updates, emergency alerts, and other communications directly related to the management of your property through PropFlow.
Message frequency: Message frequency varies based on maintenance activity at your property. You may receive multiple messages per week during active maintenance periods, or no messages during quiet periods. On average, expect 2-10 messages per month.
SMS services are provided by Twilio. Your phone number is used solely for property management communications through our platform. For more information, see Twilio's Privacy Policy.
Data Security
We take data security seriously. Your information is encrypted both at rest and in transit. We use role-based access controls to ensure that users only see information relevant to their role — tenants see their own requests, owners see their properties, and vendors see only the jobs assigned to them.
Your Rights
You have the right to request a copy of the data we hold about you, update your personal information at any time through the platform, and request deletion of your account and associated data. To make a request, contact us at hello@propflowpm.com.
Cookies
We use minimal, session-based cookies for authentication purposes only. We do not use tracking cookies, advertising cookies, or any third-party analytics cookies.
