Terms of Service

About PropFlow

PropFlow provides property maintenance coordination, vendor management, tenant communication, and financial tracking services for property owners in Philadelphia, PA. By using our platform, you agree to the following terms.

User Roles & Access

PropFlow serves three types of users, each with different levels of access:

  • Property Owners — full access to their properties, requests, financial tracking, and vendor management
  • Tenants — can submit maintenance requests, track their status, and communicate with management
  • Vendors — receive job assignments and relevant property information for repairs they are assigned to

Acceptable Use

You agree to use PropFlow for its intended purpose — managing and coordinating property maintenance. You must provide accurate information when creating requests or updating your profile. Misuse of the messaging system (spam, harassment, or fraudulent communications) is prohibited and may result in account suspension.

Service Availability

We strive to keep PropFlow available around the clock, but we cannot guarantee 100% uptime. The platform may be temporarily unavailable for maintenance, updates, or due to circumstances beyond our control. We will make reasonable efforts to notify users of planned downtime in advance.

Limitation of Liability

PropFlow coordinates maintenance and connects property owners with vendors. We do not perform repairs ourselves. While we vet our vendor network and oversee quality, we are not liable for the quality, timeliness, or outcome of vendor work. Property owners maintain their relationship with vendors, and PropFlow acts as a coordination layer.

Payments & Financial Tracking

Property owners fund maintenance reserves, and PropFlow tracks spending against those reserves. PropFlow does not process payments directly — we provide tracking, reporting, and transparency tools. Actual payments between owners and vendors are handled outside the platform unless otherwise arranged.

Termination

Either party may terminate the service relationship with 30 days written notice. Upon termination, we will provide you with your data and close your account. Any outstanding maintenance requests will be communicated and transitioned as needed.

Intellectual Property

PropFlow owns all rights to the platform, including its design, code, and features. You retain ownership of all data you provide — property information, messages, photos, and documents remain yours. We will never use your data for purposes outside of providing our services.

Dispute Resolution

These terms are governed by the laws of the Commonwealth of Pennsylvania. Any disputes arising from the use of PropFlow will be resolved in the courts located in Philadelphia, PA. We encourage you to contact us first at hello@propflow.io to resolve any issues informally.

Changes to These Terms

We may update these terms from time to time. If we make significant changes, we will notify you via email before they take effect. Continued use of PropFlow after changes are posted constitutes acceptance of the updated terms.
